A common template keeps logos, colours, websites, addresses and approved disclaimers consistent. Names, roles, departments and direct numbers remain individual. This reduces improvised layouts during onboarding and makes review easier.
Who owns the details?
Marketing may own the logo and campaign banner, operations the telephone and address, legal the disclaimer, and administrators the employee list. Agree on a source for each field. When someone changes roles or leaves, update or archive the record and review issued links.
A practical seven-step rollout
Define a brand profile; choose a template; import employees; review generated signatures; distribute private installation links; confirm installation with test messages; maintain company settings. Review exceptions before inviting the whole team.
Bulk import and employee changes
The CSV import accepts first name, surname and email, plus optional title, department, mobile, telephone and credentials. It reports invalid rows and updates existing employees by email. Changes to records do not silently rewrite a signature already installed in Outlook or Gmail.
Installation in Microsoft 365 environments
Employees open an expiring private link, preview and copy their assigned signature, and paste it into the Outlook version they use. Microsoft 365 is the account environment; Outlook may be classic desktop, new Outlook or web. SendSignatures uses client-side installation and does not inject signatures through Exchange.
Brand changes, disclaimers and campaigns
Update company settings when logos, addresses, social links or approved disclaimers change. Arrange recopying and reinstallation for signatures already pasted into a mail client. Supported campaign banners can use a stable image URL so an administrator may change the image separately. Check the actual campaign configuration before rollout.
