A “Microsoft 365 signature” usually means a signature in classic Outlook, new Outlook or Outlook on the web. Identify the app first. Account policy and version can affect settings and whether a signature syncs.
Individual installation
Create and copy the finished design, paste it into the correct Outlook signature editor, set new-message and reply defaults, then send a test from that account. Use the desktop guide or web guide for matching steps.
Team rollout
Define company branding, import or add employee records, generate individual versions and send private installation links. Employees copy and install their assigned signature. Confirm rollout by testing the Outlook versions actually used. See the team page and management guide.
What updates do and do not do
SendSignatures uses client-side installation, not Exchange server-side injection. A changed brand profile does not automatically replace HTML already pasted into every Outlook editor; employees may need to recopy and reinstall. Campaign images using a configured stable URL can be changed separately.
Keep signatures consistent
Check logo loading, line breaks, disclaimer wording and links in each relevant Outlook version and a mobile inbox. One successful builder preview is not enough for a company rollout.
