Send a test message to an external address. Open its image URL in a private browser window: it must load without a login. Confirm that it begins with HTTPS and returns the image, not an error page. If it loads for you but not a recipient, check that recipient’s external-image settings.
Local paths and broken HTTPS URLs
A file path on your computer cannot be fetched by someone else. Replace file:// or relative paths with public HTTPS URLs. Repair 404 responses, expired links, private cloud permissions and unavailable image hosts. Avoid HTTP images inside HTTPS workflows.
External image blocking
Outlook or recipient policy may block remote images until the reader allows them. You cannot force every inbox to show an image. Keep the sender name and main contacts as text, and give informative images useful alt text.
Formats, huge files and copied Word HTML
Export a logo as PNG or JPG for broad compatibility. Resize large source files. Word-generated HTML may carry complex styles and local image references; recreate it with email-safe markup. Malformed tags or unsupported CSS can also hide content.
Classic Outlook, new Outlook and caching
These versions use different editors and rendering paths. Follow the matching Outlook installation guide. If a changed image still looks old, test a fresh message and another device to distinguish caching from a host problem. Reinstall after structural changes if needed.
Troubleshooting checklist
